This is a follow up to the August reminder about student hiring to address questions from department administrators related to specific fund accounts and the hiring process to be used for student hires.

To clarify, hiring covered through research investment funds/RIF (fund account 52129) should be done via an ePAF generated by the department.

For further clarity, departments should directly initiate an ePAF when any of the following fund accounts are being used: 51225, 51402, 52129, 53102, 53106, 53202, 53206, 53212, 53216, 53302, 53306, 53312, 53316, 53402, 53406, 53412, 53416.

JobHawk is to be used to hire for financial aid positions, roles funded with departmental operating and discretionary accounts, as well as positions where funding is processed through Advancement.

When JobHawk is used, Student Employment will generate an ePAF:

  • ePAFs for financial aid jobs go directly from Student Employment to HR/Payroll;
  • ePAFs for departmental jobs flow to the department for approval and then to HR/Payroll;
  • ePAF changes for students hired via JobHawk need to be sent to Student Employment for processing (submit an ePAF change to Student Employment); sign-in required).

The Teaching Assistant and Research Assistant hiring remains unchanged at this time.
