Information for Department Chairpersons

The following information may be helpful to department chairpersons in carrying out their duties throughout the academic year.

Chairperson Evaluation Schedules* for Non-Tenured Faculty:

Evaluations completed by October 1—recommendation sent to Dean by October 15  
Evaluations completed by December 1—recommendation sent to Dean by December 15  
Evaluations completed by December 15—recommendation sent to Dean by February 28 
Evaluations completed by April 1—recommendation sent to Dean by April 15

NOTE: Chairs (and deans) should pay particular attention to nontenured faculty in fourth year of service as to their strengths and weaknesses in preparation for future tenure application.  

Important Dates 

October 10-deadline for faculty to submit requests for sabbatical leave.  Chairpersons will turn over to Department Personnel Committee for a recommendation to the College Personnel Committee.  Please refer to Sabbatical Application deadline schedule. 

October 31-Schedule for Rank and Tenure Process is released.

Advising

Chairpersons must be available during the Advising Period:  November (for Spring Semester) and April (for Fall Semester) 

Add/Drop Period

Chairpersons must be available during the first 10 days of classes (both semesters) for Add/Drop periods. 

Grades/Orientation

Chairpersons must be available two weeks prior to semester break on December 24 and two weeks prior to Commencement.  (Faculty must have grades turned in within 48 hours of last exam.)  Chairpersons must ensure that all faculty grades are turned in on time.  In addition, Chairpersons shall not approve travel for faculty until they have turned in grades and completed all contractual obligations to the University. 

Chairpersons also must be available through the month of June for Orientation of new and transfer students coming in the Fall.

Hiring New Faculty

Chairpersons must have permission of Chancellor before posting ads (including website ads) for any new hire of faculty, including Visiting Faculty.  The Chairperson and/or Department Search Committee will collect applications, conduct interviews, and select candidates.  Recommendations are forwarded to the Dean of the College, and the Dean will forward to Provost and Chancellor with his/her own comments.  Pending salary negotiations with candidates, an offer will come from the Office of the Provost.  Be advised that no offer will be sent to candidate before all processes are completed and approved through Human Resources and Office of Equal Opportunity and Outreach.
